Labelling Cold-Storage Addresses Without Losing the Thread

Households with more than one hardware wallet often invent labels on the fly: “Mom’s long-term,” “Vault 2 after trip,” “Do not touch.” Six months later, nobody remembers which address belongs to which label.

Each index card carries four fields:

  1. Ledger row number — matches the allocation table
  2. Device name — the physical label on the hardware wallet
  3. Address fragment — first and last four characters only
  4. Policy note — one line: long-term, staging, family gift, etc.

Cards are sorted by ledger row, not by device. During reconciliation, the practitioner reads row by row and pulls the matching card.

Common mistake

Renaming a vault in wallet software without updating the card. We recommend crossing out the old name on the card, dating the strike-through, and writing the new name beside it — never erasing.

Book an allocation label audit if your card set has outgrown your ledger.
